Certified Polish Translation Services for Poland Documents

Polish authorities do not accept English-language Indian documents at most submission points, and the reason is structural, not preference. Polish administrative offices, courts, urząd stanu cywilnego, urząd wojewódzki, university admission offices, and the regulated-profession chambers all work on the assumption that any foreign document presented inside Poland is read in Polish, certified by a translator who is personally accountable to a Polish court. That person is a tłumacz przysięgły, and only translators listed on the Polish Ministry of Justice register can produce the format Polish offices accept.

The order of operations matters. Translation is done after the apostille is on the document, not before. If the translation is prepared first and the apostille is added afterwards, the apostille stamp itself is then in a language the Polish office cannot read, and the file gets bounced or sent back for a second translation. We work the chain in the right order, so the original document, the pre-MEA seal (HRD, SDM, or Home Department), and the apostille stamp are all translated together by one tłumacz przysięgły, with the translator number and seal applied to every page.

Practical translation specifics that come up regularly. A standard Indian degree plus transcript translates to roughly 4 to 8 pages of Polish, depending on transcript density. A birth or marriage certificate is usually 1 to 2 pages. A PCC is 1 page. Tłumacz przysięgły charges by translated-page output, not by source-page input, so the page count and quote are confirmed only after the apostille is back. We coordinate the translator and the apostille so the file lands ready for the Polish recipient in one continuous chain, not in two separate handoffs.

Send a scan of the apostilled document (or the document at the start of the chain) and the Polish recipient on WhatsApp +91-9220161774. SiZA Global confirms the tłumacz przysięgły, the translator-list reference number, the page count, the quote, and the turnaround. Once the apostille is in hand, the sworn Polish translation typically lands in 5 to 10 working days for a standard document set, and is then ready for submission to the Polish authority directly or via VFS in Delhi.

Who uses certified translation in this language

  • Indian applicants whose Polish university registry, employer, voivodeship office, or chamber has asked for sworn Polish translation of the apostilled degree, transcript, birth certificate, marriage certificate, or PCC
  • Students whose English-medium Polish programme still requires a tłumacz przysięgły-prepared Polish translation at registration even though the teaching language is English
  • Skilled workers whose Blue Card or work-permit file includes a degree, experience certificate, or PCC that must be read by Polish administrative offices
  • Family-reunion applicants whose marriage and birth certificates need sworn Polish translation alongside the apostille
  • NRIs in Poland whose document file is being completed remotely through SiZA in India and needs the sworn translation built into the apostille chain

Source documents we translate

  • Apostilled document (degree, transcript, PCC, birth, marriage, or other)
  • Passport copy for name reference
  • Polish recipient instruction (university registry, voivodeship office, chamber, urząd stanu cywilnego, employer)
  • Translation page count to confirm quote
  • Translator number and tłumacz przysięgły confirmation on every translated page

Source-document checks before translation

Translate after apostille, translator format matters

    Translation-timeline factors

    • Apostille readiness before translation can start
    • Polish sworn-translation typical 5 to 10 working days for a standard set
    • International courier or direct submission

Format and sequence mistakes that cause rejection

    • Translating the document before the apostille is placed
    • Using a generic certified translation (notary plus apostille of the translation) instead of a sworn Polish translation
    • Forgetting that Polish offices read the apostille stamp as part of the document, not as a separate sheet

    Why SiZA on language-specific translation

    • Direct tłumacz przysięgły coordination from the Polish Ministry of Justice register
    • Translation prepared after apostille so the apostille stamp and the pre-MEA seal are translated alongside the document body
    • One continuous chain (HRD or SDM plus MEA plus sworn Polish translation) rather than two separate handoffs

    Frequently Asked Questions

When do documents need certified translation?

Certified translation is required when an Indian document is submitted to a foreign authority whose working language is not English. Italy, Germany, France, Spain, Czech Republic, Slovakia, Slovenia, Poland, Russia, the GCC (Arabic), and many others ask for certified translation alongside (or after) the apostille. The format varies, Italy uses Embassy-empanelled translators, Germany uses sworn translators (vereidigter Übersetzer), Spain uses Traductor Jurado, Czech Republic uses soudní tlumočník. SiZA Global confirms the accepted format for the receiving authority before translation begins.

Stories from clients on this language route

My US university required official certified English translations of my degree and transcripts. The translations SiZA provided were accepted immediately. They formatted everything exactly as the university required and included the certification statement. No back and forth at all.

Germany required both apostille on my transcripts and certified German translation. SiZA coordinated both at the same time — I submitted documents once and got back apostilled originals with certified German translation. They also confirmed APS requirements for my university application.

Italy requires Italian translation done by an empanelled translator for study visa documents. SiZA provided the translation with the translator's seal and declaration. The Italian consulate in Chennai accepted the translations without asking for any corrections. I'd tried another service before SiZA — that translation was rejected. The difference was obvious.

Czech university and consulate both needed Czech-language translations of my degree and school leaving certificate. SiZA arranged certified Czech translation along with apostille on the originals. The Czech consulate in Delhi accepted everything on the first submission. I didn't have to do a second round.

Saudi employment visa required Arabic translation of my degree, experience certificate, and police clearance. SiZA provided certified Arabic translation with attested seal — the format Saudi employers and MOFA recognise. All three documents translated and delivered quickly. My Saudi visa file was accepted without any translation-related rejection.

German-language translation of my Master's degree, mark sheets, and research publications was needed for my PhD admission. SiZA's certified German translation was formatted with the correct certification statement. The university directly confirmed the translations were in acceptable format. Saved me from sending them off for a second opinion.
