Which healthcare authority will read your translated documents?

Translation format depends on which authority will read the file. Each licensing body has its own quirk. We brief translators per authority, not per language.

DataFlow PSV (Primary Source Verification)

Saudi Arabia, UAE, Qatar, Oman, Bahrain

DataFlow verifies documents directly with the issuing institution. The institution verifies the document, not the translation. But the licensing body that comes after DataFlow (SCFHS, DHA, DOH, MOH, QCHP, NHRA) often needs certified Arabic or English translation of the same documents. We prepare the translation pack alongside the DataFlow package, so the candidate is not waiting twice.

Kuwait MOH may sometimes request DataFlow for specific healthcare categories. In most Kuwait nurse and doctor files the primary route is Kuwait Embassy attestation and the employer/MOH file. See the Kuwait country page for the operational reality.

SCFHS, Saudi Commission for Health Specialties

Saudi Arabia

SCFHS is the licensing body for doctors, dentists, pharmacists, nurses and allied health in Saudi Arabia. Documents go through DataFlow first, then the Saudi-side registration. Where the source document is not in English or Arabic, certified Arabic translation is the safer path for the Saudi-side file. We work with translators experienced in SCFHS-style certification formats.

DHA, DOH and MOH UAE

UAE: Dubai, Abu Dhabi, other emirates

UAE has three healthcare licensing authorities. DHA for Dubai. DOH for Abu Dhabi. MOH for the other emirates. All three sit downstream of DataFlow, and each has its own portal and document expectations. Translation expectations are similar but not identical; we confirm per emirate before the file goes for translation.

QCHP, Qatar Council for Healthcare Practitioners

Qatar

QCHP runs licensing for doctors, dentists, pharmacists, nurses and allied health in Qatar. DataFlow is mandatory. Certified Arabic translation of registration and good standing is commonly required where the source document is not in English.

NHRA Bahrain, OMSB Oman

Bahrain, Oman

Bahrain (NHRA) and Oman (OMSB) both run DataFlow plus a national-level licensing process. Translation is usually English to Arabic for registration and good standing certificates; we run the lane through translators experienced with each board.

AHPRA, Australian Health Practitioner Regulation Agency

Australia

AHPRA covers 16 health professions. Indian credentials going to AHPRA need apostille and English translation where the source document is not in English. Where NAATI-certified translation is asked for, SiZA confirms the NAATI requirement before processing.

NMC UK, Nursing and Midwifery Council

United Kingdom

Indian nurses applying for NMC UK registration need apostilled nursing registration and transcripts. English translation is required only where the source document is not already in English. Most INC and state council documents are in English already, so the translation step often does not apply.

NMC India, Indian Nursing Council

Issuing authority in India

NMC India issues the source registration. When the receiving country wants the registration in their own language or in English, we translate the certificate, the good standing letter and the council seal text. We are not the issuing authority for the registration itself.

Which medical credentials are translated most often for doctors and nurses in 2026?

Every lane has a way it usually breaks. The summary below is what we tell candidates before they courier the original.

Medical degree

MBBS, MD, BDS, MDS, BPharm, MPharm, BSc Nursing, MSc Nursing, GNM, ANM, BPT, MPT. Specialty name has to render exactly into the destination language, because licensing scopes are tied to specialty codes.

Common risk: A wrong specialty name on a registration certificate is one of the more common reasons SCFHS and DHA files get sent back.

State Medical Council and INC registration

State Medical Council (Karnataka, Maharashtra, Kerala, Tamil Nadu and others). NMC India registration. State Nursing Council registration. INC certificate. Council number, dates, and seal text all translated faithfully.

Common risk: Council seal text in regional language is missed by general translators. The destination authority then asks for a re-translation.

Good standing and no objection

Good Standing certificate from State Medical Council, INC or state Nursing Council. Required for SCFHS, DHA, QCHP, AHPRA, NMC UK, NMC Ireland.

Common risk: Good standing has a freshness window. Most destinations accept 3 to 6 months. Translation work is tied to that window.

Internship and clinical experience

CRI (Compulsory Rotating Internship) certificate, hospital employment letter, clinical experience certificate, fellowship and residency certificate. The hospital seal and the unit specialty appear in translation.

Common risk: A hospital experience certificate that does not name the specialty (general MBBS surgery rotation, not ortho specifically) trips DataFlow when the candidate is applying for an ortho job.

Class 10, Class 12 and university files

For DataFlow, the candidate often submits Class 10 and 12 alongside professional registration. For Kerala and Tamil Nadu nurses, regional-language marksheets need English translation first, then attestation, then submission.

Common risk: A Malayalam or Tamil HSC marksheet submitted to DataFlow without an attached English translation will block the verification.

Clinical reports and patient records

Discharge summaries, lab reports, surgery notes, pathology reports, prescription packs. Used for second-opinion abroad, insurance claims, treatment continuity, medical visa files.

Common risk: Confidentiality on these files is non-negotiable. Originals stay logged, scans stay encrypted at the translator desk, no third-party sharing.

Vaccination certificate

For Saudi Yellow Slip (family visa), the vaccination certificate has to be notarised, SDM-attested, MEA-attested, apostilled, and translated to Arabic. The biometric appointment in India will not move without this.

Common risk: CoWIN digital certificates and paper vaccination cards are not the same document. We confirm which one the Saudi-side employer or sponsor has asked for.

Pharmaceutical and drug documents

CDSCO drug licence, FSSAI registration, GMP certificate, free-sale certificate for pharma export. Used for SFDA Saudi, UAE MoH product registration and other regulator-side submissions.

Common risk: These are commercial documents in regulatory format. The Chamber of Commerce step is part of the work. We do not run them like a normal medical translation.
Regional Indian source language

Kerala Malayalam. Tamil Nadu Tamil. West Bengal Bengali. Most agencies skip this.

A large share of Indian nurses and doctors going abroad have at least one document in regional script. Class 10 marksheet in Malayalam. Hospital experience certificate from Vellore in Tamil. Birth certificate from a Kolkata district in Bengali. State council seal in Kannada or Telugu. If that document goes into DataFlow or to SCFHS, DHA, AHPRA in regional script alone, the file stops.

The order is plain. English translation first, with a notary declaration. Then the rest of the attestation, apostille or embassy attestation. Then the destination-language step (Arabic for the Gulf, where the licensing body asks). We run the regional source-language step in-house, with translators briefed on the council seal text for each state.

Kerala, nurse files

Birth certificates, Class 10 marksheets, school leaving certificates and nursing experience certificates from Kerala hospitals are often in Malayalam. For DataFlow, SCFHS, DHA, AHPRA and NMC UK files, English translation has to attach to the original before the rest of the documentation work moves.

Tamil Nadu, doctor and nurse files

HSC marksheets, hospital experience certificates from regional medical institutions and birth certificates in Tamil need English translation, with a notary declaration, before submission. We brief translators on TNMC and Tamil Nadu Nursing Council seal text.

West Bengal, doctor files

Council certificates and some hospital experience documents in Bengali. The state council seal in Bengali has to render exactly. Calcutta and Kolkata sub-registrar variants of birth certificates also need careful handling.

Karnataka, Andhra Pradesh, Telangana, Maharashtra, Gujarat

Council registration, experience and educational documents in Kannada, Telugu, Marathi or Gujarati for nurses and doctors moving to the Gulf or to NHS UK. English translation first, then the rest of the attestation work.

For doctors and nurses already abroad

Original certificates are in India with family or with the issuing council. The deadline is at your end. The coordination is the difficult part.

Doctor in Riyadh, MBBS in Kerala

You are working in Saudi Arabia. SCFHS asks for a fresh good standing from the State Medical Council. The original is sitting in India with family. We pick up from the family, coordinate the good standing renewal, translate to Arabic, and courier the file back to Riyadh or to your sponsor. WhatsApp updates and photo proof at every handoff.

Nurse in Dubai, GNM from Tamil Nadu

DHA renewal needs a Tamil Nadu Nursing Council good standing and a 5-year experience verification. Family in Chennai couriers the originals to our Noida office. We run the work, prepare DataFlow-ready translation, and return through tracked courier to Dubai.

Dentist in Kuwait, BDS from Karnataka

Kuwait MOH file. Kuwait MOH rarely runs DataFlow; the primary route is Kuwait Embassy attestation and the employer file. We coordinate the Embassy-side attestation, Arabic translation where the employer requests it, and deliver to the Kuwait HR desk on instruction.

What we do not promise

  • That DataFlow will verify the document. DataFlow checks with the issuing institution. We cannot speed up an issuing institution that is slow.
  • That SCFHS, DHA, AHPRA or NMC UK will register the candidate. The licensing decision sits with the authority. Our job is to clear the documentation lane.
  • That we are NAATI-certified. We are not, and we will say so. If your AHPRA file specifically requires NAATI, we tell you.
  • That a recruitment role or visa stamping outcome will follow. SiZA is not a recruitment provider and not a visa guarantor.

Frequently asked questions

For DataFlow, does my document need to be translated before submission?

DataFlow verifies documents at the source. They check directly with the issuing institution. They do not strictly require the translation. The translation comes in at the licensing step that follows DataFlow (SCFHS, DHA, DOH, QCHP, NHRA, OMSB). To save the candidate one round trip, we prepare the certified translation pack alongside the DataFlow file. If your source documents are in regional Indian language, English translation has to attach to the original even for DataFlow to read the file.

My HSC marksheet from Kerala is in Malayalam. Will DataFlow accept it as is?

For DataFlow to verify, the issuing board has to confirm the document. Most state boards in India still hold records in the original regional script. Your DataFlow file will move, but the licensing authority that comes next (SCFHS or DHA, for example) will read the verified document and expect a clean English or Arabic version. The translation has to go in early. Same logic applies for Tamil, Bengali, Marathi, Gujarati and other regional-language source documents.

Does Kuwait MOH ask for DataFlow on nurse files?

Kuwait MOH may sometimes request DataFlow for specific healthcare categories. In most Kuwait nurse files we see, the primary route is Kuwait Embassy attestation, certified Arabic translation where the employer asks for it, and the employer or sponsor file going forward. I am a doctor abroad. My specialty name on the State Medical Council certificate is in Hindi or in mixed Hindi-English. Does it have to render exactly?

Yes. Licensing bodies tie scope of practice to specialty codes. A mistranslated specialty on a registration certificate is one of the more common reasons SCFHS, DHA and QCHP files get sent back. Where the specialty name carries a regional script element, we keep the regional script alongside the translated equivalent and note the council seal text.

AHPRA is asking for NAATI-certified translation. Do you do that?

NAATI-certified translation is done by translators certified by the National Accreditation Authority for Translators and Interpreters in Australia. SiZA itself does not hold a NAATI certification, and we will not claim that we do. Where your AHPRA case requires NAATI specifically, we will confirm whether the AHPRA case officer accepts a non-NAATI certified translation, and if not, we will tell you that NAATI is the only option and stop the case so you do not pay for the wrong format.

For NMC UK, does my INC certificate need translation?

INC and most state Nursing Council certificates are issued in English. NMC UK does not require translation of an English-only document. Translation comes in for the attached marksheets and experience certificates that are in regional language. The apostille step on the INC certificate is a separate, parallel step. We handle both.

How do you protect patient records and clinical reports?

Strict confidentiality. Originals are logged with a Customer ID and Document ID at the Noida office. Scans live in encrypted storage limited to the translator handling the file. No third-party sharing of the original or the translated copy. Where you ask for an NDA before sending sensitive records, we sign one. Discharge summaries, lab reports and patient case files are handled with the same custody discipline as a corporate document.

Will SiZA submit my DataFlow application for me?

No. DataFlow PSV submission is done by the candidate or the candidate's employer, through the DataFlow portal. On the Indian side, we ready the documents DataFlow verifies, run the apostille, attestation and translation work that wraps the case, and flag what is missing before you submit. The application sign-off stays with you.
