India's Ministry of External Affairs (MEA) issues the apostille. It authenticates the origin of the document, including the signature, seal and official capacity behind it; it does not certify that every statement inside the document is correct or guarantee that a university, employer, court or visa authority will accept the underlying content.
Four facts decide whether apostille is the right service: India issued the document, the destination is covered by the Convention for this relationship, Indian law treats the record as a public document, and the organisation receiving it actually requires an apostille. If any one of those facts is different, the correct work may be embassy attestation, a foreign-country apostille, document correction or no legalisation at all.
Before MEA can act, the signature or seal on the document must be verifiable. Depending on the document and its purpose, that may involve State HRD, Home Department, SDM, Chamber of Commerce, the issuing authority or an eSanad-integrated digital repository. Translation, DoV, CIMEA, DataFlow and visa checklists are separate requirements; we do not describe them as part of apostille unless the receiving instruction connects them to the same file.

Educational documents: decide the set before stamping
A final degree, a provisional degree, a transcript and semester marksheets are separate documents. Apostilling the final degree alone may be exactly right for one employer and incomplete for a university or credential evaluator that asked for the degree and transcript together. Apostilling every marksheet “just in case” can waste time and money. We ask for the recipient's list first and build the document set from that instruction.
The next question is whether the educational record needs state-level verification before MEA. That decision depends on the destination, the receiving organisation, the issuing institution and the type of certificate. If State HRD is required, the university may have to confirm the degree before the state can sign it. That university response can take much longer than the final apostille stage, so it has to be visible in the schedule from the beginning.
Candidate-appearance rules also matter. Some state or regional offices allow a representative; some require the candidate for particular cases. SiZA checks the current rule before collecting the original. Where appearance is mandatory, we can prepare the file and explain the visit, but we cannot replace the candidate or promise a private workaround.
We also check whether the recipient accepts a provisional certificate while the final degree is pending, whether the transcript must remain sealed, and whether the issuing institution needs to send anything directly. Those are recipient requirements, not features of the apostille itself. Keeping them separate prevents a correct apostille from being attached to the wrong document set.
Personal documents: check the source record, not only the stamp
Birth, marriage, death, divorce, police-clearance and single-status documents often look simple because each may be only one or two pages. The risk sits in the source record. A hospital slip is not the same as a civil birth certificate. A passport entry naming a spouse is not a registered marriage certificate. A local-police PCC and a Passport Office PCC may not follow the same authentication process. We identify the issuing authority before advising the prior step.
Names and dates deserve their own check. MEA can authenticate the competent signature on a document even when the person's name is spelled differently elsewhere. The apostille will not resolve that mismatch for the foreign recipient. If the passport, certificate and application use different names, we first check whether the issuing record should be corrected or whether the recipient accepts a competent one-and-the-same or supporting document.
Digitally issued civil records can sometimes use a different verification process from older paper certificates. The answer depends on whether the issuing authority and the document are available through an accepted digital repository. A high-quality colour print is not automatically a true copy, and an original is not automatically required for every digital record. We state which version is needed after inspecting the document and current process.
Single-status certificates, affidavits, parental consents and powers of attorney also need purpose-specific wording. The apostille authenticates the public signature; it does not make vague or incorrect drafting suitable for a marriage office, court, bank or immigration file abroad. When wording matters, we ask for the recipient's format before the document is executed and authenticated.
Commercial, notarial and court documents use different prior authorities
A company's board resolution, MOA, AOA, commercial invoice or corporate power of attorney normally starts with the Chamber of Commerce that can authenticate the business signature. That does not make the Chamber a general apostille desk. Birth certificates, degrees, personal affidavits and court orders do not become commercial documents simply because a company, bank or lawyer will use them later.
Legal documents need closer classification. A court-issued order carries a public judicial signature and may need authentication through the competent court authority before MEA. A private agreement or declaration may first need a valid notarial act. A personal power of attorney and a corporate power of attorney can look similar on the page but arise from different signers and purposes, which can change the prior authentication.
The practical rule is simple: classify the document by who issued or executed it, not by the industry of the recipient. We ask who signed it, in what capacity, where it was issued, and what the foreign authority wants to do with it. That is how we distinguish a Chamber file from a notarial, court, civil or educational file before the original moves.
Apostille for NRIs when the original is still in India
Many NRI cases start with the customer abroad and the original in a cupboard, university envelope or family file in India. That is normal. The first review can happen from scans. We identify the document, destination, recipient and deadline before asking a parent, spouse, sibling or office colleague to release anything.
Once the requirement is clear, we agree who will hand over the document and where it must be returned. The Indian custodian receives the pickup or delivery instruction. SiZA records the document at intake, completes the agreed prior authentication and MEA work, then shares completion proof with the customer abroad. The return can go to the family in India or to an overseas address, depending on the chosen courier and document need.
An Indian Embassy or Consulate abroad cannot issue an Indian MEA apostille on an India-issued document. Equally, India cannot apostille a document issued in another country. If an NRI has both an Indian degree and a foreign-issued marriage or birth certificate, the two documents may need apostilles from two different countries. We separate those responsibilities in the first review so the foreign document is not unnecessarily sent to India.
Remote handling does not remove a lawful appearance requirement. If the relevant state or issuing authority requires the candidate, we say so and plan around it. For the large number of files that do allow representative handling, the customer can remain abroad while the India-side work is completed and tracked.
Normal and urgent apostille are not the same as total case time
The final MEA stage is only one part of many files. A “24-hour apostille” can be a responsible commitment only when the document is already eligible and ready for that stage. It cannot compress a university verification, mandatory state visit, document correction or international courier journey into the same day.

What completion proof can and cannot tell you
A useful completion image should show that the apostille has been attached to the correct document and should let the customer retain the apostille number and issue date. SiZA shares that evidence before return dispatch. The courier AWB then proves the return movement, and the case remains open until the customer confirms receipt.
The apostille number can be checked against the competent authority's register where online verification is available. This verifies the origin of the apostille. It does not turn the apostille into a visa approval, degree-equivalence decision or statement that the contents are correct. The foreign university, employer, registrar, court or licensing body still applies its own rules to the underlying document.
That distinction matters when a customer is told, “Once apostilled, it must be accepted everywhere.” The Convention simplifies legalisation of the public signature and seal. It does not force a recipient to accept the qualification, wording, date, document category or purpose. Good apostille support therefore checks the recipient's instruction before the stamp, not only the sticker after it.

Apostille and embassy attestation are different services
Apostille is used under the Hague Convention. Normal attestation is used when the Convention does not apply and the destination asks for embassy or consular legalisation. The destination and receiving instruction decide which service applies.

An Indian apostille is issued through India's MEA system
An Indian mission abroad cannot put an Indian MEA apostille on an India-issued degree, birth certificate or marriage certificate. The document has to be processed through the appropriate India-side system, but the customer usually does not need to travel with it.

Prior authentication decides whether the document is ready for MEA
A collection point cannot replace State HRD, Home Department, SDM, Chamber, or issuing-authority verification where it applies. We check that requirement from the document scan before the original moves.

An apostille has no Convention expiry date

My certificate is laminated. Can it still be apostilled?
A laminated certificate is one of the most common reasons MEA refuses to apostille a document. The lamination blocks the stamp, the sticker, and any prior attestation marks. Do not try to peel the lamination yourself, since paper damage and ink loss are likely. The practical fix is to obtain a fresh original from the issuing university, board, or municipal office before starting the apostille steps. If a fresh original is not possible, share a scan on WhatsApp; in some states a certified true copy from the issuing authority can be used in place of the laminated original, depending on document type.
My passport name and certificate name do not match. Can I still get apostille?
MEA itself does not adjudicate name mismatches, but the receiving authority abroad will. A small variation like initials-expanded vs initials-only, father name on certificate but not on passport, or maiden-name vs married-name is the single most common cause of rejection after the apostille is done. The accepted fix is a One-and-Same Certificate from a competent Tehsildar (preferred for Italy DoV files) or, in some cases, a notarised affidavit. A plain affidavit alone is often not enough; the New Delhi Italian Embassy DoV page explicitly mentions this. Send your passport scan along with the certificate scan on WhatsApp so the right correction route can be advised before originals move.
How do I check that my apostille is genuine and not a fake?
Every MEA apostille carries a unique apostille number printed on the sticker or stamp. The Government of India operates the eSanad portal at esanad.nic.in where the apostille number, document type, applicant name, and date of issue can be verified online for free. Genuine apostille service providers will give you the apostille number and a copy of the apostille certificate so you can verify independently. If a provider refuses to share the apostille number, refuses to issue a receipt, or asks for cash-only without a written quote, treat that as a red flag. SiZA shares the MEA apostille number, the sticker scan, and the tracked return courier consignment number for every file.
I am an NRI living abroad. Do I have to fly back to India to apostille my certificate?
No. An India-issued document must be processed through India's MEA apostille system, but the customer usually does not have to travel back. Start with clear scans of the document, ID and receiving instruction. If an original is required, it can be handed over by family in India, collected from an Indian address or couriered to SiZA's Noida office. After the applicable prior authentication and apostille are complete, the original can be returned by tracked courier to the agreed address in India or overseas. A mandatory personal-appearance rule at a state authority is the main exception, and SiZA confirms that before collecting the document.
Does an apostille expire? My degree was apostilled two years ago. Is it still valid?
The Apostille Convention does not give an apostille a fixed expiry date. The organisation receiving the document still decides whether the underlying record is current enough for its purpose. A degree may remain usable for years, while a PCC or civil-status document can be subject to a recent-issue requirement. Check the current recipient instruction before paying for a new apostille; the relevant question may be the age of the document rather than the age of the apostille.
Why does MEA sometimes add a stamp saying it does not vouch for the contents?
That wording explains the limited purpose of an apostille. MEA authenticates the signature, seal and official capacity behind a public document; it does not certify that every fact written inside the document is true. The disclaimer therefore does not, by itself, cancel an otherwise valid apostille. The receiving authority can still assess the document's content, validity and relevance for its own decision.
My apostille application was returned or rejected. What should I do?
MEA does not usually issue a formal rejection letter. The file is returned with the original document and an indication of which step was incorrect. The most common reasons are: missing or incorrect pre-attestation (SDM instead of State HRD, or vice versa), poor document condition (stained, torn, faded, laminated, or photocopied where original was required), unverifiable signature or seal, and supporting-document gaps such as missing passport copy or authorisation. Do not resubmit the same file unchanged. The correct order is: verify which step failed, fix it at the relevant authority (issuing institution, State HRD, Home Department, SDM, or Chamber of Commerce), and only then resubmit to MEA. SiZA reviews returned files and identifies the actual cause before any re-submission.
Can a US, UK, Canadian, or German document be apostilled in India?
No. Apostille follows the country of issue, not the country of use. A document issued by a foreign authority (a US birth certificate, a UK marriage certificate, a Canadian degree, a German PCC) must be apostilled by the competent authority of that country. India's MEA cannot apostille a document it did not issue. The correct authority abroad is the equivalent of MEA in the issuing country. In the US, that is the State Authentication office of the state that issued the document for state-issued records, or the US Department of State for federal documents. In the UK, the Foreign, Commonwealth and Development Office (FCDO). In Canada, Global Affairs Canada under the recent Hague accession. In Germany, the Bundesverwaltungsamt or the relevant state office. Once apostilled abroad, the foreign document is then accepted in India without any further MEA step.
