The 12 steps in detail
The trust SiZA earns is in the parts most agents skip. Read it slowly.
- 1
You send us a scan
Share a clear scan of the document on WhatsApp, the destination country, the purpose (work, study, family, business), and any deadline you are working against. No money moves at this stage.
- 2
We read the document, not just the request
A senior team member reviews what you actually need. If the process you asked for is not right for the case, we say so plainly. No sugar coating. If a cheaper route works, we tell you.
- 3
We commit to a timeline and a cost
Once the case is clear, we explain the required process, the timeline we commit to, and the cost. The timeline accounts for government, embassy, university, and courier dependencies we cannot control, and the schedule we can.
- 4
Customer ID and Document ID at intake
When your original arrives, it is logged with a unique Customer ID and Document ID before anything else happens. Two customers with similar names, two degrees from the same university, two cases from the same state, none of them get swapped. This is the discipline that backs the "0 misplaced or mishandled" claim.
- 5
A printed checklist travels with your document
Every document picks up a printed checklist at intake. Each handoff (Notary, State HRD, MEA, Chamber, embassy counter, translator) is a tick on that sheet, filled by the person doing the step. The sheet stays with the document its entire journey. This is what Six Sigma training looks like inside a documentation business.
- 6
Dedicated movement staff, waterproof packaging
Documents do not move through Porter, Wefast, or Borzo. They move through tenured SiZA staff who are trained in document handling. Each leg is packed in waterproof material so Delhi rain at the Notary counter cannot mess twenty documents in one batch.
- 7
We submit, we follow up, we appear where we have to
For routes where we can submit (Notary, SDM, MEA via authorised channels, Chamber of Commerce, embassies that allow agent submission), we submit. For routes where personal appearance is mandatory (Rajasthan, J&K, Himachal, Meghalaya, most of Uttarakhand, parts of Karnataka), we tell you, because nobody can appear for you and any agent who claims otherwise is lying.
- 8
WhatsApp and email updates at every stage
You are not chasing us. We update you on WhatsApp or email when the document moves between stages. No black-box weeks.
- 9
Photos and videos before dispatch
Once the work is complete, we share photos and videos of the stamps, the apostille sticker, the embassy seal, and the document condition before we courier anything back. You see the work, you see the document is in the same shape it arrived in.
- 10
Payment after the work is done
You pay once the work is complete, not before. UPI, credit card, debit card, internet banking. No upfront full payment without a written quote.
- 11
Return through a reputed courier you choose
We confirm your return address and your preferred courier (Blue Dart, DHL, FedEx, DTDC Premium, UPS). We pack the document the way it deserves and ship with a tracking number.
- 12
We close the case only after you have it in hand
We track the return package and ask you to confirm receipt on WhatsApp. The case closes when you tell us the document is with you and undamaged. The majority of our customers come back through referrals. This step is why.
Five things most agents do not do
Defensible in any audit. Specific. Falsifiable.
Customer ID + Document ID at intake
Logged before anything else. Two cases with similar names or the same university never get swapped.
Printed checklist on the document
Every handoff (Notary, State HRD, MEA, Chamber, embassy, translator) is a tick on a printed sheet that travels with the file.
Waterproof packaging on every leg
Delhi rains. A packaging failure on a wet day can ruin twenty documents in one batch. We do not let that happen.
Tenured movement staff, not Porter or Wefast
Documents move through SiZA staff trained in document handling, not third-party parcel apps.
Photo and video proof before dispatch
You see the stamps, the apostille sticker, the embassy seal, and the document condition before anything leaves our office.

Return dispatch. Return packing is the last step where a document can be ruined. We confirm your address, you pick the courier (Blue Dart, DHL, FedEx, DTDC Premium, UPS), we pack the document the way it deserves, and we share the tracking number on WhatsApp. The case closes when you confirm it reached you, not when we hand it to the courier.

Before you courier anything
Do I have to send my original documents?
+
Some processes can be done on a high-quality colour printout where the authority allows it, such as apostille on digitally issued birth or marriage certificates. For most other cases the original is required by the issuing authority. We confirm the requirement after the document review, before you courier anything.
When do I pay?
+
Payment is collected after the work is complete and you have seen the photos or videos of the finished document. We accept UPI, credit card, debit card, and internet banking. We do not ask for full upfront payment without a written quote.
Which couriers do you use?
+
For return dispatch we use Blue Dart, DHL, FedEx, DTDC Premium, and UPS. You pick the one you prefer.
I am abroad. How do my originals reach you?
+
Either you courier them to our Noida office through an international service like DHL or FedEx, or your family in India sends them through our pan-India pickup. We have run cases where the original arrived from Riyadh by DHL, was apostilled within 24 hours, and shipped back the next working day.
How do I confirm the work is done?
+
Before dispatch we share photos and videos on WhatsApp showing the stamps, the seal, and the document condition. After dispatch we share the courier tracking number. We close the case only after you confirm on WhatsApp that the document is in your hand and undamaged.
