A birth certificate going to Italy is almost never a single-document set. It usually sits inside a larger family-side application, Nulla Osta family reunion (when the sponsor in Italy is an Indian or other non-EU citizen legally resident there), family member of Italian/EU citizen process (when the sponsor is an Italian or EU citizen), the child-inclusion section of a dependent visa, civil-registration or anagrafe submission at an Italian comune, school admission for a minor, or the proof-of-relationship documentation for a court matter. The government check before MEA step for a birth certificate is different from the sequence for a degree, and the supporting Italian-side paperwork (Nulla Osta, sponsor residence permit, marriage certificate, school admission letter) varies by which lane the submission is on.

On the India side, an Indian birth certificate goes through Home Department / NRI Office or SDM / Deputy Commissioner at the state level before MEA apostille, not through State HRD. The choice between Home Department and SDM depends on the issuing state and the receiving Italian authority. The municipal corporation or panchayat that issued the certificate has to be visible on the certificate; if the issuing date is many years before the current date and the original certificate has been laminated, faded, or carries a now-defunct municipal seal, a fresh certified-copy issue from the issuing authority is the cleanest first step. We catch these condition issues in the scan review before originals move.

Two practical points come up almost every time on Italy-bound birth certificates. First, name format. Italian authorities compare the birth certificate name and date carefully against the passport, the sponsor documents and (for child-inclusion applications) the school records or vaccination records. Even small variants like a middle name appearing on the birth certificate but not the passport, or a different spelling between the Hindi-script and English-transliterated entries, can become questions later; a Tehsildar-issued One and Same Certificate is the accepted fix where applicable. Second, translation timing. The certified Italian translation is prepared after apostille so that the apostille stamp and the Home Department / SDM seal are also represented in the translation, by a translator listed by the Embassy of Italy New Delhi or the Italian Consulate Mumbai.

If You Are Already in Italy

Many Italy cases start with a message from Milan, Rome, Turin, Padua, Bologna, or another city: the university, employer, Comune, Questura, or family office asks for an apostilled Indian document, but the original is still in India. In that situation, the first job is not to panic-courier the document. First confirm the purpose, document condition, jurisdiction, and whether original handling is actually required.

  • Share clear scans before your family sends originals from India
  • Tell us who is asking for the document in Italy and what exact wording they used
  • Check whether HRD, Home Department, SDM/DC, MEA apostille, Italian translation, or conformity is required
  • Coordinate with parents, relatives, or your India office only after the document process is clear
  • Ask for completion proof and safe return instructions before the final dispatch

Who this guide is for

  • Indian students going to Italy for undergraduate or postgraduate programmes, DoV, CIMEA, Universitaly, and Study D files
  • Indians or NRIs in Italy who need Indian documents processed from India while abroad
  • Families preparing marriage, birth, or dependent documentation for Italy family reunion
  • Healthcare professionals and researchers going to Italy under work or research visa categories
  • Study-abroad consultants or HR teams managing Italy education and employment document files

Documents typically needed

  • Original birth certificate (fresh certified-copy if needed)
  • Passport copy
  • Sponsor and dependent passport copies
  • Italian-side lane paperwork (Nulla Osta, Italian/EU family-member, Study D dependant, anagrafe)
  • Tehsildar One-and-Same Certificate where name-mismatch

How a SiZA file usually moves

1

WhatsApp scan review with Italy lane (Nulla Osta, EU family-member, Study D dependant, anagrafe)

2

SDM or Home Department + MEA Delhi apostille + Italian sworn translation

3

Tracked return

Before any original leaves your hands

Standard scan-review checks

  1. 1

Birth certificate pages should distinguish student use, minor travel consent, and family reunion use. Family reunion can require a stricter civil-document route than a generic apostille page.

  2. 2

For children/family reunion, parent names and Nulla Osta details should be checked before legalisation starts.

  3. 3

For families abroad, explain how parent names, late registration orders, passport spellings, and custody of originals in India should be checked before apostille or translation begins.

What typically affects timeline

  • Issuing-state SDM or Home Department pace
  • MEA Delhi apostille
  • Italian sworn-translation + international courier transit

Common mistakes we see

  • Routing through HRD, civil documents go through SDM or Home Department
  • Submitting laminated certificate
  • Translating before the apostille is placed

Why work with SiZA

  • Italy birth-certificate civil-document path, SDM or Home Department + MEA apostille + Italian sworn translation
  • Lane handled, Nulla Osta family reunion vs Italian/EU family-member process vs Study D dependant vs anagrafe registration
  • Tehsildar One-and-Same Certificate for name-mismatch before any other step

Frequently Asked Questions

For Italy DoV or Study D, can I use SDM instead of HRD on my degree?

Do not treat SDM as a safe shortcut for Italy study documents. Under New Delhi Study D and DoV guidance, educational certificates are expected to have HRD authentication before MEA apostille, and the Embassy DoV page specifically says SDM stamp is not accepted for the final degree or school certificate. Students should still verify their current jurisdiction and course checklist.

Should degree, marksheets and transcript be apostilled together for Italy?

Many Italy student files are checked as a set, not as one lonely certificate. The degree or school certificate, marksheets/transcript, passport name, admission letter, Universitaly summary, DoV or CIMEA instruction, and scholarship document can all be compared. Before apostille, check which academic records your university, DoV office, CIMEA route, or visa checklist asks for.

Does every Italian university ask for both DoV and CIMEA?

No. DoV and CIMEA are different routes. Some universities may accept CIMEA in place of DoV for a particular course, while others may ask for DoV or follow their own evaluation process. The practical question is: what does your Italian university and current visa checklist accept for your course?

What if my passport name and degree name do not match?

Do not hide the mismatch and do not assume a notarized affidavit will fix it. The Embassy of Italy New Delhi DoV page says that where passport and academic names do not match, a One and Same certificate from the competent Tehsildar may be required, and affidavits are not accepted for that DoV mismatch case.

Should Italian translation be done before or after apostille?

For many Italy files, translation is safer after HRD/Home authentication and MEA apostille because the translation may need to show stamps, seals, and apostille text. Translating too early can mean paying again when the final apostille or seal has to be represented in Italian.

Should I start Italy documents from apostille, DoV, CIMEA or the visa checklist?

Start from the purpose, not from the stamp. A scholarship file, university admission file, Universitaly pre-enrolment, DoV/CIMEA file, Study D visa file, family reunion file, and work or research visa file can ask for different supporting documents. First download the latest official checklist for your jurisdiction and collect the university or sponsor instruction; then decide the apostille, translation, DoV or CIMEA route.

Stories from SiZA customers

I needed both MEA apostille and Italian translation for my degree, marksheets, and birth certificate. SiZA handled the full package , apostille and empanelled Italian translation together. Everything was accepted by the Italian embassy without any queries.

Student, Italy study visa

I live in Italy, and for immigration purpose I was asked to submit legalized marriage certificate from Italian consulate. Since I cannot personally do it, I found this agency online and contacted them. I sent them a pdf file of my marriage certificate and passport, they did everything from home department attestation, apostille, Italian translation and legalization from Italian consulate, Mumbai all within 40 days and send it to me by DHL to Italy. They were a life saver because there are only very few agencies in India who does legalization from Italian consulate. They were very professional, sent me the photo of the certificate after each step. I highly recommend them.

Italy requires Italian translation done by an empanelled translator for study visa documents. SiZA provided the translation with the translator's seal and declaration. The Italian consulate in Chennai accepted the translations without asking for any corrections. I'd tried another service before SiZA , that translation was rejected. The difference was obvious.
