Court-qualified translators where the law says so

Germany, Spain and Czech Republic legally require lawyer-level (sworn) translators. We use them. No cheaper substitutes.

Apostille and translation in one pickup

Italy, Czech, Germany, France and Spain files run both processes in parallel. One coordinator, one delivery.

Embassies reject at least one translated file every week. The reasons are almost always the same.

The translator was not on the embassy's empanelled or sworn list (this alone causes scholarship rejections for most Italian students). A government seal, notarial mark or apostille stamp on the original was not translated properly. Sworn translation was required, but a translator without court authority did it as a regular certified one. A general translator was used when the document was actually a medical registration, a court judgment, or a Power of Attorney into Arabic that needed a domain specialist.

By the time the rejection email arrives, the visa appointment is gone, the student has lost an intake, or the goods are stuck at customs. Everything below is built to catch these mistakes before the file is opened. Not after.

Format confirmed before we start

Certified, sworn, notarised, or Italian-Embassy empanelled. We confirm what the receiving authority actually accepts before opening the file. That avoids the "translation rejected, please redo" email arriving six weeks later.

Every stamp and seal goes in

Government seals, notarial marks, apostille text, attestation stickers. All of it carried into the translation exactly as it appears on the original. Embassies and courts check this. A missing seal is one of the common rejection reasons.

Sworn Translation

Done by a translator who has taken an oath before a court or government authority in the destination country. In Germany (beeidigter Übersetzer), Spain (traductor jurado) and Czech Republic (soudní překladatel), sworn translation is legally mandatory for virtually all official submissions: visa, university, court, notary, civil registry. Italy, Slovakia, Slovenia, Serbia and France require it for many document categories.

My previous translator's file got rejected by the embassy. Can you redo it, and how do I know you will not fail the same way?

Yes, redo work is a real part of our intake. Send the original document, the rejection notice (most embassies issue one in writing), the receiving authority, and the rejected translation. Most rejections we examine fall into one of three buckets: wrong format (certified when sworn was required, or vice versa), missing seals or stamps in the translated copy, or translator not on the empanelled list (Italian Embassy, Czech Ministry of Justice list, Spanish jurada list, etc.). We diagnose first, then quote. We do not start work until we have identified what specifically caused the rejection.

Why are Italian, German, Spanish and Czech translations more expensive than other languages?

Germany, Spain and Czech Republic require court-sworn translators by law for almost all official submissions. Italy requires Embassy-empanelled translators for student visa files at Delhi and Mumbai consulates. The number of sworn or empanelled translators for Indian language pairs is small, their hourly rate is set by their regulator, and they hold legal liability for what they sign. We pass that cost through transparently. We never substitute an unsworn translator for a file that needs sworn translation. That is the most common reason translations get rejected after delivery.

What is the actual difference between certified, sworn, notarised and Embassy-empanelled translation?

Certified is a translation with a signed accuracy declaration from the translator or agency. Sworn is done by a translator who has taken an oath before a court or government authority in the destination country (Germany, Spain, Czech, Italy, Slovakia, Slovenia, Serbia, parts of France). Notarised adds a notary public's verification of the translator's signature on top. Empanelled means the translator appears on a specific authority's pre-approved list (the Italian Embassy in Delhi keeps such a list; some German state authorities do too). Which one applies depends entirely on the receiving authority. We confirm before we start.

My source document is in Hindi, Tamil, Malayalam, Marathi, Gujarati, Bengali or Urdu, not English. Can you still translate to Arabic, Italian, German etc.?

Yes. We translate directly from the Indian source script (Devanagari, Tamil, Bengali, Gujarati and similar) into the target foreign language. No English intermediary. Routing through an English step is something we avoid because it introduces errors, especially in proper nouns, place names and government department names. The translator must be fluent in both the source Indian language and the target foreign language. That is a smaller pool, but it is the right pool.

My visa interview is in 3 to 5 days. What is genuinely possible?

Tell us the deadline at the start, not at the end. We have done 24 to 48 hour turnarounds for Arabic and short Italian files when the embassy slot was locked and the file was clean. We will not take rush work where the deadline forces us to skip the sworn translator step, skip the format verification call, or use a generalist instead of a domain translator. That is the path to a rejected file in 5 days instead of an accepted one in 8.

Can I use a translation that was already done abroad, or do I need it done in India?

It depends on the receiving authority. Italian Embassy New Delhi mostly does not accept Italy-side translations for student visa files. They want their own empanelled translator list. Some German state authorities accept beeidigter Übersetzer from inside Germany. Saudi authorities sometimes prefer Arabic translation done and notarised inside India. Tell us where the document is going and where the existing translation came from. We will say whether it works.

How confidential is this for corporate contracts, M&A files and employee credentials?

Files are accessed by the assigned translator and one case coordinator. No general team access. NDA on letterhead is signed before file transfer if you ask. After delivery, files are archived in encrypted storage and not used for any other purpose. Many law firms, M&A consultancies and corporate HR teams use us specifically because we do not subcontract files to a wider freelance pool the way many agencies do.

Will one person handle my whole file or will I get passed between executives?

Each file is assigned one coordinator from intake to delivery. You have their direct WhatsApp. For combined apostille and translation work, the same coordinator tracks every sub-step: SDM or notary, state HRD where applicable, MEA apostille, translator handover, courier in and out. That is how we avoid the "your file is with another team" loop that most agencies fall into.

What is your policy if the embassy or authority still rejects the file after your translation?

If the rejection is on a translation defect that is our fault (typo, missed stamp, wrong format we recommended), we redo the translation at no cost and absorb the apostille re-attestation cost where it applies. If the rejection happens because the customer briefed the wrong destination or authority, we re-quote at a discount. We do not write this policy on a marketing page and then dispute it later. Ask any of our referral customers.

Do you provide samples or references before I commit to a large translation project?

For B2B and corporate work, we share anonymised samples of similar document type and language pair. We do not share other customers' files. For high-volume engagements (visa consultancies, ed-tech, corporate HR), we run a paid sample on one document before scaling, so you see exactly what the receiving authority will get. That is preferable to free samples done by junior translators that do not reflect production work.

How do I submit documents and what comes back to me?
