Indian Marriage Certificate Translation and Apostille for Use Abroad

Marriage certificates show up in spouse visa files, family residence files, OCI of spouse applications, USCIS RFEs, German Standesamt registrations, Italian Nulla Osta dossiers, and Norwegian municipality marriage paperwork. Marriage certificate translation: key facts for 2026

  • Hindu Marriage Act Form B from Delhi or Mumbai sub-registrar is usually already in English. USCIS RFE 'produce English translation' on an already-English certificate is best answered by a translator's certification of accuracy on letterhead, not a retyped translation.

The Hindu Marriage Act Form B was already in English

A USCIS officer issued a Request for Evidence on an I-130 spouse petition. The RFE said: produce a photocopy of the original foreign-language marriage certificate, and a new full English translation. The marriage certificate was a Hindu Marriage Act Form B issued by a Delhi sub-registrar. The whole certificate was already in English. There was no foreign language anywhere on it.

We have seen this RFE three times. Each time, the desk officer at USCIS issued the boilerplate RFE language without reading the certificate, and each time the petitioner panicked and went looking for a translator. The right answer is not a translation. The right answer is a translator certification of accuracy and completeness, on letterhead, naming the document and confirming that the document is in English in its source form and that the translator has reviewed and verifies the contents. That covers the RFE in one page. Retyping the certificate as a "translation" creates a different problem: now the document body is the translator\'s typed version, not the sub-registrar\'s, and the petitioner has to explain why the body has been re-typed.

That case is the reason this page exists. Most marriage certificate translation pages on the internet assume the certificate is in a foreign language. For Indian-registered marriages, the certificate is often already in English. The work needed is something other than translation in the regular sense, and explaining that is the actual job of this page.

Three things people bring us that are not marriage certificates

The passport endorsement. Many married Indians have their spouse\'s name endorsed on the rear page of their passport. The endorsement is a Passport Office record, not a marriage record. German Standesamt, Italian Anagrafe, Norwegian Folkeregisteret all reject the endorsement and ask for the marriage certificate. We see this most often with couples who married in the 1990s and 2000s, never registered the marriage, and now need to move abroad to be with their children. The path is retroactive registration at the sub-registrar of the district where the wedding happened. The Indian Hindu Marriage Act and Special Marriage Act both allow late registration; some states ask for affidavits from two witnesses to the ceremony.

No Indian state accepts the receipt as a marriage record, and no destination authority will accept it for spouse visa, family reunion, or Standesamt registration. The Hindu Marriage Act explicitly says that the marriage is valid from the date of the ceremony, but the registration is a separate process at the sub-registrar.

Hindu Marriage Act, Special Marriage Act, and why the destination cares

Indian marriages register under one of two acts. The Hindu Marriage Act 1955 covers marriages between two Hindus, Sikhs, Jains, or Buddhists. The Special Marriage Act 1954 covers marriages where one or both partners are not Hindu, where the couple wants a civil ceremony, where the marriage is interfaith, or where the marriage is between an Indian citizen and a foreign national.

Most destinations do not distinguish between the two acts. They want a marriage certificate, apostilled and translated, and they read the certificate at face value. Two destinations sometimes ask which act applies.

Italian counters at family reunion stage sometimes ask, because Italian civil law treats religious marriages differently from civil marriages, and they want clarity that the Indian Hindu Marriage Act registration is the civil legal record (it is). German Standesamt sometimes asks, particularly when registering an interfaith marriage from India, because the Standesbeamte wants to confirm the marriage was performed under a state-recognised civil law. Both can usually be addressed with a short translator note alongside the certificate, naming the act and confirming the legal-record nature of the registration.

The spelling tolerance map by destination

Name spelling differences between the marriage certificate and the passport are the largest single cause of late-stage rejections we see. The destination tolerance varies sharply.

CKGS, for OCI of spouse: zero tolerance. Single-letter differences (Mohammad versus Muhammad; Reema versus Rima) have been grounds for hold. The fix path is a corrected certificate from the issuing sub-registrar, not an affidavit. Some Indian states reissue corrected certificates within 4 to 6 weeks; some take longer. We do not advise apostille-and-submit-with-affidavit for OCI cases; we have seen it fail.

Italian Embassy DoV: zero tolerance. The DoV counter in New Delhi has been one of the strictest in the world on this for the last several years. The accepted fix is a Tehsildar one-and-same certificate, not an affidavit. The Tehsildar issues at the applicant\'s residence district and takes 2 to 4 weeks. We coordinate the rest after the Tehsildar releases the certificate.

German Standesamt: low tolerance. Standesamt will usually accept a notarised affidavit alongside the apostilled marriage certificate when the difference is minor. They are not as procedural as CKGS or Italian DoV, but the local Standesbeamte\'s discretion varies by city. Munich, Hamburg, Berlin tend to be procedural; smaller Standesämter are sometimes more flexible.

Saudi MOFA, UAE Embassy, Kuwait Embassy: moderate tolerance. Single-letter and translation-spelling differences are usually accepted with a short translator note. The Arabic transliteration of Indian names varies anyway; reviewers know this. They do not accept material name differences.

USCIS, UK Home Office, Australian DoHA: case officer dependent. Single-letter usually fine. Two-letter or more usually triggers an RFE.

Which authority will actually read this marriage certificate

Saudi Yellow Slip family visa. The spouse joins the principal sponsor on a family residence. Marriage certificate runs notary, SDM countersign, MEA attestation, MEA apostille. Saudi joined the Hague Apostille Convention with effect for Indian documents from 7 December 2023, so apostille is the route now, not the older Saudi Cultural Attaché legalisation. Certified Arabic translation last. The Yellow Slip biometric appointment in India will not move without this exact sequence inside a tight window. If the appointment is missed because the file is not ready, the family rebooks, and Saudi appointment rebookings are not always fast.

UAE family residence, Kuwait family visa. Non-Hague routes. UAE Embassy attestation and UAE MOFA attestation both happen inside India now (UAE MOFA digital-stamp service moved from Dubai to India around 2023). For Kuwait, the Kuwait Embassy at Chanakyapuri in New Delhi handles the embassy attestation, then Kuwait MOFA in Kuwait City handles the second leg after the document arrives in country. Certified Arabic translation accompanies in both cases.

Italian Nulla Osta family reunion. Sponsor (Indian or other non-EU national legally resident in Italy) applies through Sportello Unico per l\'Immigrazione for the Nulla Osta. The marriage certificate is the spine document for the spouse case. SDM countersign for Delhi-issued, Home Department for state-issued, MEA apostille, Italian translation through Embassy or Consulate General empanelled translator. The Nulla Osta is valid 6 months from issue. If the spouse case includes children, birth certificates need the same sequence.

German Standesamt. The Standesamt registers a foreign marriage so the couple can be reflected in the German civil register. Marriage certificate runs SDM, MEA apostille on the Indian side, then sworn German translation by a vereidigter Übersetzer in Germany. Standesamt sometimes asks for a recent-issued copy; the original certified copy from years back is technically valid but Standesbeamte sometimes ask for one within the last six months. The cleanest path is to request a fresh certified copy from the issuing sub-registrar and run the apostille on that copy.

USCIS spouse petition (I-130, K-1 fiancée, K-3). Certified English translation alongside the original certificate. If the certificate is already in English (Hindu Marriage Act Form B from a Delhi or Mumbai sub-registrar usually is), a translator\'s certification of accuracy alongside the original handles the standard RFE language. Apostille is not technically required for USCIS, but if you are bundling the certificate with OCI work, apostille runs at the same step.

OCI of spouse. MEA apostille on the India-issued marriage certificate. Certified English translation if the source is regional language. The 30 December 2024 Indian Mission to USA rule on US-state apostille applies only to US-issued marriage certificates, not to India-issued ones. The two cases get confused at CKGS desks.

Norwegian municipality marriage registration. The pre-marriage paperwork at the Norwegian Tax Administration asks for a single status certificate dated within the last 6 months. After the wedding, if the marriage is registered in India for any later use, the certificate runs the apostille sequence at that point.

Where SiZA stops on a marriage certificate

We are not the Italian Embassy and we are not the German Standesamt. The acceptance call sits with the destination authority. Where the destination asks for an additional document (Tehsildar one-and-same certificate, name-change gazette, retroactive registration), we will name it and run the work, but the final accept is theirs.

We do not register marriages with sub-registrars and we do not get sub-registrars to issue corrected certificates faster than they normally do. Retroactive registration and name-spelling correction are sub-registrar processes; we advise on what to apply for and what supporting affidavits are usually accepted, but the issuance is the registrar\'s.

We are not on the Italian Embassy empanelment list. We are not a sworn translator in Germany. For destinations that require those, we work with translators who hold those credentials, in India where the Embassy or Consulate keeps the list and in the destination country where the local court keeps it. We will name the translator the case is routed through if you ask.

When you actually need to send us the Original

Translation runs from a scan or photograph of the marriage certificate. Hindu Marriage Act Form B, Special Marriage Act certificate, sub-registrar issuance from any state; the translator works from the document image and delivers the translated version as a PDF on email, or as a wet-signed hard copy by courier where you ask. The Original certificate does not need to leave the couple\'s file for translation-only work.

Apostille is the separate leg that needs the Original. MEA stamps the actual marriage certificate, not a scan. For spouse visa, OCI of spouse, German Standesamt registration, Italian family reunion; all of which need apostille alongside translation; the Original travels to our Noida office for the apostille step. Translation runs in parallel from the scan. The two legs are sequenced, not stacked.

French is the translation case with a different rule. Authorised French Embassy translators sometimes verify the document against the Original where the document is not digitally verifiable. For French-target translation, we confirm at intake whether the verification step applies to your specific document.

How a marriage certificate is logged, photographed and moved

You can\'t mess with people\'s Original documents. A marriage certificate that arrives at our Noida office on a Wednesday is logged that morning with a Customer ID and a Document ID. The printed checklist that travels with the document carries those numbers and is signed at every handoff: Notary office, SDM, MEA submission, MEA collection, embassy desk if applicable, translator, courier outbound.

For couples where both spouses are travelling together (matched birth certificates plus marriage certificate for a family-visa file), the Customer ID is shared and Document IDs distinguish the documents. The file moves as a bundle through Notary, SDM, MEA so the apostille dates are close together. Some destinations look at the apostille dates and ask why one document was apostilled six months before the other.

We do not use Porter, Wefast, Borzo or similar third-party parcel apps for document movement between our Noida office, MEA, and the embassies. Those apps were not designed for documents that record a legal event in someone\'s life and cannot be re-issued at will. Inter-city and international legs use Blue Dart, DHL, FedEx, DTDC Premium, UPS; services that have insurance, tracking, and accountability when something goes wrong.

We click pictures and shoot videos of every stamp: Notary, SDM, MEA, embassy attestation, translator certification. Pictures go on WhatsApp before the document moves to the next handoff. If a customer cannot read the regional-script seal on a particular stamp, they ask and we explain.

From intake to the spouse-visa appointment, day by day

You WhatsApp the scan. We read it, confirm whether it is a sub-registrar issued certificate under HMA or SMA, a panchayat certificate, or one of the three things that are not a marriage certificate. If retroactive registration is needed before the work can begin, we say so. If the certificate is in regional language, we name the translation step. If the spelling is going to cause a CKGS or Italian DoV problem, we say so at this stage, not after apostille.

For cases where apostille is part of the work, the Original comes to our Noida office. Pickup across Tier 1 and Tier 2 Indian cities for couples in India. Family courier for couples abroad whose certificate is with parents or siblings in India. The Customer ID and Document ID go on the printed checklist at intake.

The Indian-side work runs in the order the destination asks for. Most cases run Notary, SDM countersign (Delhi-issued) or Home Department (state-issued), MEA attestation, then MEA apostille for Hague destinations or embassy attestation for non-Hague. Marriage certificates use the SDM route, not the State HRD route that educational documents use.

The translation step comes last for most cases. Arabic for Saudi, UAE, Kuwait, Qatar. Italian via empanelled translator for Italy. Sworn German via vereidigter Übersetzer in Germany. Certified English with translator declaration for USCIS, OCI, UK Home Office, Australian DoHA.

Frequently asked questions

My Hindu Marriage Act Form B is already in English. Why is USCIS asking for a translation?

Because USCIS's RFE template asks for an English translation of any foreign-issued document, and the desk officer reading it does not always check the certificate body before sending the RFE. Send the original English Form B with a translator's certification of accuracy and completeness, which states that the certificate is already in English and the translator has reviewed and confirms the content. That covers the RFE. Do not retype the certificate as a "translation" because then the body is your typed version, not the registrar-issued document, and that creates a new problem.

My passport has my wife's name endorsed. The German Standesamt is asking for a marriage certificate. Why is the endorsement not enough?

Because a passport endorsement is not a marriage certificate. The endorsement says the Indian Passport Office accepted a declaration from the passport holder; the marriage certificate is what the sub-registrar issued to record the marriage. Standesamt registers the marriage in the German civil register, and they will only register it from the certificate, not from the endorsement. If the marriage was never registered in India, the path is retroactive registration at the sub-registrar in the district where the marriage happened. This is possible for marriages decades old, but it takes weeks.

There is a single-letter spelling difference between my name on the marriage certificate and my passport. Mohammad versus Muhammad. Will OCI go through?

Risky. CKGS has rejected OCI applications for single-letter spelling differences on marriage and birth certificates. The cleaner path is to apply to the issuing sub-registrar for a corrected certificate; most states allow this with an affidavit. Once the corrected certificate is in hand, the apostille work begins on that copy. The affidavit-only path, where you apostille the original and add an affidavit at submission, sometimes works at Schengen consulates; it is not reliable at CKGS.

Does my India-issued marriage certificate need a US apostille under the 30 December 2024 OCI rule?

No. The 30 December 2024 rule from the Indian Mission to USA covers US-issued birth and marriage certificates, which now need apostille from the issuing US state's Secretary of State before CKGS will accept them for OCI. India-issued marriage certificates run MEA apostille in India. The two are not interchangeable. If your marriage was registered in India, the apostille happens in New Delhi. If the marriage was registered in the US, the apostille happens at the US state level. The Indian Mission cannot do either.

I am an Indian citizen marrying a Norwegian. Norway is asking for a single status certificate from before the marriage. Does the marriage certificate later replace this?

They are two different documents. Before the wedding, Norway needs a single status certificate, which in India is an SDM-issued affidavit on stamp paper. Norway typically wants the apostille to be less than six months old at the time the marriage is registered there. After the wedding, if any Indian authority asks for proof of the new marriage, the Indian marriage certificate is the document. Plan the single status affidavit timeline backward from the Norwegian registration date.

The marriage was a Hindu ceremony at a temple. We never got it registered. Can we still get a certificate now to use abroad?

Yes. Apply to the sub-registrar of marriages in the district where the ceremony happened, under the Hindu Marriage Act registration process. Some states have a 30-day window from the wedding date; outside that, you can still register, with affidavits from witnesses to the ceremony. Once the registrar issues the certificate, the apostille sequence runs on that copy. This is one of the more common cases for older couples now moving abroad for their children's reasons.

My marriage certificate is in Tamil. The Italian Embassy wants Italian translation. What is the order of work?

Translate Tamil to English at the India end with notary certification. SDM or Home Department countersign on the English version. MEA apostille on the bundle. Then Italian translation through an Italian Embassy New Delhi or Italian Consulate General Mumbai empanelled translator, and Italian translation includes the apostille text. The Embassy DoV counter is strict on name spelling. If the wife's name appears differently across the marriage certificate, her passport, and the husband's passport endorsement, expect a Tehsildar one-and-same certificate request.

How long does the work take from your end?

For a Delhi or Mumbai sub-registrar issued Hindu Marriage Act Form B going to a Hague destination: 7 to 12 working days at our end, plus 3 to 7 working days for international courier. For a regional-language source, add 3 to 5 working days for the English translation step. For destinations that require sworn translation completed in the destination country (German vereidigter, Italian asseverazione), add another 5 to 15 working days at the destination end.
