NRI document work starts with one frustrating fact: Indian documents are legalised in India. If your Indian birth certificate, marriage certificate, degree or PCC needs apostille, an Indian Embassy abroad cannot put the MEA apostille on it.
Start with scans from wherever you are
That does not mean you need to book a flight. Maybe you live in New Jersey and your birth certificate is with your parents in Noida. Maybe your degree is in Chennai and you now work in Dubai. The document can move in India while you stay where you are.
For NRIs, the hardest part is usually document custody. An applicant lives in Toronto and needs her Indian marriage certificate apostilled for a European residence file. Her brother in Delhi has the original. He sends scans first. An Indian document is apostilled in India, even when you now live overseas
MEA apostille belongs to the country that issued the public document. An Indian birth certificate, marriage certificate, degree or PCC therefore goes through the Indian process. A notary in Canada, the USA, Germany or the UAE cannot place an Indian MEA apostille on it. An Indian mission abroad may offer consular attestation services, but that is not the same as MEA apostille on an India-issued document.
The original does not always need an international round trip. If your parents or sibling already hold it in India, they can send the scan, wait for the route check and hand it over locally. If the original is with you abroad, confirm first whether the receiving authority truly needs that original apostilled. Sometimes a fresh Indian certificate can be issued and processed in India; sometimes the original must be couriered back.
For an Embassy-issued Indian PCC being used for a Spanish file, the original may still need India-side MEA legalisation and then Spanish sworn translation if the consulate asks for that chain. Send the PCC and checklist rather than assuming the mission stamp is the final step.

Old certificates, name differences and missing originals need to be solved before apostille
NRI files often involve documents issued many years ago. A short birth extract may not show both parents. A marriage certificate may be laminated. A degree may use initials while the passport shows the full name. Apostille confirms the signature chain; it does not correct the content. We identify those issues from the scan and tell you whether re-issue, correction or a supporting document is needed.
Where the same person has two versions of a name, a One and Same Name affidavit may help if the receiving authority accepts it. The affidavit can be prepared, notarised and apostilled, but it should not be presented as a universal cure. The country, visa type and mismatch decide whether the authority will accept an affidavit or demand a corrected source certificate.

Can an Indian Embassy in the USA or UK apostille my Indian birth certificate?
