Saudi Visa Stamping Support

Saudi Employment Visa Stamping Documentation Guide

Saudi work-visa stamping in India is the India-side back end of the Wakala system. The Saudi employer issues a Wakala (visa-issuance authorisation) in Saudi Arabia; the documents prepared in India (degree, transcript, PCC where required, experience certificates, medical fitness reports, marriage and birth certificates where family is accompanying) move through the India-side chain so they are ready at the visa-stamping appointment at the Saudi Embassy in New Delhi or the Saudi Consulate in Mumbai. SiZA Global supports the documentation and visa-stamping coordination, not recruitment; the Saudi employer's side is handled by the Wakala issuer in Saudi Arabia, not by SiZA Global.

Saudi attestation chain depends on the document type. Educational documents (degree, transcript, marksheets) go through State HRD at the issuing state, then MEA apostille (Saudi joined the Hague Apostille Convention on 7 December 2022, so apostille replaces the older Saudi Embassy attestation route for educational documents from India). Personal documents (marriage certificate, birth certificate, vaccination certificate) go through Notary plus SDM or Home Department, then MEA apostille. Experience certificates go through Chamber of Commerce plus MEA apostille. Certified Arabic translation is mandatory on every personal document and on most educational documents going to Saudi, done after the apostille is placed.

For degree-holder and white-collar work visas, Saudi may additionally require one of three Saudi-side qualification-verification programs: QVP (Takamol Qualification Verification Program), Mosaddaqa, or Saudi Culture Attestation. Which one applies depends on the job category, job code, and title in the visa application; SiZA Global guides the choice based on the candidate's specific job. State HRD on the degree is required before any of the three; the verification then runs at the Saudi side after India-side apostille. For blue-collar workers, Saudi may instead require SVP (Takamol Skill Verification Program), which is a different track; SiZA Global helps with SVP appointment booking and the related document prep. GAMCA medical fitness is mandatory for both white-collar and blue-collar work visas. PCC is generally not required for Saudi visas.

Send clear scans of the degree and transcript, the experience certificates, the passport name page, and the Wakala or employer authorisation letter on WhatsApp +91-9220161774 with the job category and code, the family-accompanying status, and the deadline. SiZA Global confirms the State HRD route for your issuing state, the apostille schedule for personal documents through SDM or Home Department, the Chamber step for experience certificates, the Saudi-side verification program that applies (QVP, Mosaddaqa, Saudi Culture Attestation, or SVP), the GAMCA appointment, the Arabic translation, the visa-stamping appointment at the Saudi Embassy New Delhi or Saudi Consulate Mumbai, and a written quote that separates each fee before originals move.

Who reads this guide

  • Indian engineers, IT professionals, accountants, and white-collar candidates whose Saudi employer has issued a Wakala and whose document set has to be ready before the Saudi Embassy New Delhi or Consulate Mumbai visa-stamping appointment
  • Healthcare professionals going to Saudi where the visa file sits alongside SCFHS licensing (DataFlow, Prometric, Mumaris+) but the visa stamping itself still happens through the Embassy or Consulate after the apostille and Arabic translation are complete
  • Blue-collar workers (electricians, plumbers, technicians, welders, drivers) where SVP (Takamol Skill Verification Program) replaces QVP and the document set includes experience certificates and trade-specific records
  • Candidates whose previous Saudi visa was rejected or withdrawn and who now have a fresh Wakala, where document re-verification and timeline planning matter to avoid a second delay
  • NRIs in third countries (UAE, Kuwait, Oman, Singapore, US) whose Wakala is for Saudi but whose India-side originals are with family, where coordination has to span three locations

What we usually receive

  • Wakala or visa-issuance authorisation from the Saudi employer (the original Wakala document)
  • Original degree certificate with transcript or consolidated marksheet (paired) for the State HRD chain
  • Original experience certificates from each previous employer that the Saudi side will verify
  • Passport with at least six months remaining validity
  • GAMCA medical reference (the test itself is mandatory for the work visa, the file refers to the report)
  • Photographs per Saudi Embassy or Consulate specification
  • Marriage and birth certificates of dependent family members where the family is travelling on the same file

How a typical file is processed

1

Send clear scans of the Wakala or employer authorisation letter, the degree and transcript, experience certificates from previous employers, passport name page, and the family-accompanying status on WhatsApp +91-9220161774

2

We confirm the job category and Saudi-side verification track (QVP, Mosaddaqa, Saudi Culture Attestation, or SVP), the State HRD route for the candidate's issuing state, and the Chamber of Commerce step for experience certificates

3

State HRD and Chamber of Commerce steps run in parallel where possible, then MEA apostille, then Arabic translation by registered translators

4

GAMCA medical appointment coordination, Saudi-side verification program running at the Saudi end, and visa-stamping appointment at the Saudi Embassy New Delhi or Consulate Mumbai

5

Document set tracked-couriered to the candidate or directly to the visa-stamping appointment, with WhatsApp updates and a written acknowledgement at each handoff

Catch the avoidable issues at scan stage

  1. 1

Saudi employment visa stamping uses the Wakala system. The file usually has the visa authorization (Wakala from the Saudi employer), the employment contract, the chamber or sponsor documents, GAMCA medical, photos, and passport category checks. Saudi visas usually do not need a PCC, so we do not include one unless a specific authority asks.

  2. 2

Two small checks matter before stamping. Your passport ECR or ECNR status (which decides POE clearance), and the profession title on your contract (which decides whether QVP, Mosaddaqa, Saudi Culture, or SVP runs alongside). We confirm both at scan review and tell you the right chain for your role.

  3. 3

We coordinate the documentation and the appointment, but the visa decision sits with the Saudi authorities. So we do not promise visa approval. What we do promise is that the file lands at the right counter, in the right order, with the right paperwork, on the first try.

Working-day factors

  • State HRD pace for the issuing state on the degree, ranges 8 to 45 working days, Maharashtra Mantralaya and Kerala are typically longer, Andhra Pradesh and Telangana are typically faster
  • Chamber of Commerce step on experience certificates, typically 1 to 2 working days per certificate if drafting is clean
  • MEA apostille after state and chamber steps, 2 to 3 working days normal, 24 hours urgent where the file is at the Noida office before 10 PM
  • Arabic translation page count, typically 2 to 5 working days for a candidate's full document set
  • Saudi-side verification program (QVP, Mosaddaqa, Saudi Culture Attestation, SVP) running in parallel at the Saudi end, varies by program
  • Visa-stamping appointment slot at Saudi Embassy New Delhi or Saudi Consulate Mumbai, plus the stamping turnaround

Avoidable errors we flag in advance

  • Sending the degree through SDM instead of State HRD, Saudi educational documents still require State HRD authentication before MEA apostille even after Saudi joined Hague on 7 December 2022
  • Doing the Arabic translation before MEA apostille, the Arabic version then does not cover the apostille stamp and has to be redone
  • Booking the visa-stamping appointment at Saudi Embassy New Delhi when the candidate's jurisdiction is Saudi Consulate Mumbai (or vice versa), the appointment is then rejected and a new one has to be booked
  • Submitting an experience certificate that does not carry the employer's full legal name (only trade name), is undated, or is signed by a person whose authority is not visible on the letterhead, the Chamber of Commerce step returns the certificate
  • Assuming the Wakala itself covers the candidate's document side of the visa file, the Wakala is the Saudi-side employer authorisation; the India-side document chain (HRD, apostille, Arabic translation, GAMCA, visa stamping) is the candidate's responsibility

Why customers choose SiZA

  • Wakala-to-stamping coordination, we read the Wakala carefully to confirm the job category, the QVP, Mosaddaqa, Saudi Culture Attestation, or SVP track that the visa requires, and the document set the candidate needs before the appointment
  • State HRD route correctness on the degree, Maharashtra Mantralaya, Karnataka HRD, Tamil Nadu, Telangana, Andhra Pradesh, Kerala, UP HRD at Lucknow, Gujarat at Gandhinagar, plus Rajasthan and Himachal Pradesh and J&K where personal-appearance rules apply, we run the right state's chain
  • Chamber of Commerce coordination on experience certificates across multiple previous employers, including drafting-review where a previous employer letter is undated, missing the legal name, or signed by a person whose authority is not visible on the letterhead
  • Arabic translation by registered translators after MEA apostille is placed, with consistent transliteration across the candidate's degree, transcript, experience certificates, and personal documents
  • Visa-stamping appointment at the Saudi Embassy New Delhi or Saudi Consulate Mumbai based on the candidate's home-state jurisdiction, with the full document set ready in advance so the appointment closes cleanly

Frequently Asked Questions

Do I still need Saudi Embassy attestation after Saudi joined Hague?

No, Saudi joined the Hague Apostille Convention on 7 December 2022. For Indian educational and personal documents going to Saudi, the India-side chain ends at MEA apostille; the older Saudi Embassy attestation chain no longer applies to apostille-eligible documents. Saudi Embassy New Delhi and Saudi Consulate Mumbai still handle the visa-stamping appointment, but they do not attest documents anymore in the way they did before December 2022.

Which Saudi-side verification program applies to my job, QVP or Mosaddaqa?

The Saudi recruitment or hiring system decides based on the job code and category in the visa application. QVP (Takamol Qualification Verification Program) is the most common for engineers, IT professionals, and many white-collar roles. Mosaddaqa is used for some other job categories. Saudi Culture Attestation is a third track for certain education-related roles. SVP (Takamol Skill Verification Program) is the blue-collar track. State HRD on the degree is mandatory before any of these. We confirm the track at scan review based on your Wakala and job code.

Do I need to fly to Delhi or Mumbai for the visa-stamping appointment?

Yes, for Saudi work-visa stamping, the candidate has to appear in person at the Saudi Embassy New Delhi or the Saudi Consulate Mumbai (depending on jurisdiction), the visa stamp is applied to the passport in person. The good news is that the document side, the State HRD, MEA apostille, Chamber of Commerce step, Arabic translation, and document coordination, does not need a candidate visit. We run all of that from Noida; you only travel for the visa stamping itself.

My Wakala was issued six months ago. Is it still valid?

A Wakala typically has a validity window (often six months from issue, but it varies by employer and visa category). When the Wakala is close to expiry and the document chain has not started, we flag the timing so the candidate can either start the chain immediately or coordinate with the Saudi employer to re-issue. Running the chain with an expired Wakala wastes the apostille and chamber fees.

What documents do I need if my family is travelling with me on the same Saudi work visa?

For the family component, add the apostilled marriage certificate, apostilled birth certificates of dependent children, and apostilled vaccination certificates, each with Arabic translation. Adult family members may need GAMCA medical fitness depending on the visa category. We coordinate the family file alongside the work-visa file so the full set is ready at one time, not in two trips.

Can I get urgent apostille on my Saudi work-visa documents?

Yes, MEA apostille can be completed in 24 hours where the document is at our Noida office (physical document or digital document by email) before 10 PM and the next day is a working day. Target completion is by 8 PM the next day. The State HRD step and Chamber of Commerce step before MEA depend on the state and chamber working pace and are not always available in the same 24-hour window; we plan the timeline accordingly.

What documents are required?

The exact list depends on the file. For a degree apostille, the original degree certificate is the core document, with transcripts / consolidated marksheets, passport copy, and the destination authority's checklist as supporting. For a birth certificate apostille, the original municipal-corporation-issued certificate plus identity proof. For a marriage certificate apostille, the original registered civil certificate (Sub-Registrar / Marriage Registrar issued, not just religious ceremony). SiZA Global reviews the specific file scans on WhatsApp and confirms the exact document set required before originals move.

How long does the process take?

End-to-end timelines depend on five factors: the issuing state, whether university verification is required, the document type (educational vs civil vs commercial), the destination country's chain (Hague apostille vs non-Hague embassy attestation), and any translation requirement. A typical apostille-only file is 7-15 working days; a file with HRD + apostille + translation is 12-25 working days; a non-Hague embassy attestation file with all chain steps is 15-30 working days. SiZA Global shares a written, case-specific timeline after the scan review.

Voices from the customer side

Saudi visa documentation is complicated — educational attestation, police clearance, GAMCA, employer instructions. SiZA gave me a clear checklist, handled the MEA apostille and Arabic translation, and guided me through the stamping process. Everything was done before my joining date.
